- Work closely with the CEO to manage various operational aspects of the company, including HR, finance, vendor management, and administrative tasks. - Coordinate with external service providers, such as accountants, lawyers, and other professional services, to ensure compliance, timely deliverables, and effective coordination. - Handle payroll processing, ensuring accurate and timely payment to employees, as well as managing employee benefits and HR-related administrative tasks. - Oversee vendor management, including managing vendor relationships, negotiating contracts, and processing payments in a timely manner. - Assist with general administrative duties, such as organizing meetings, managing calendars, coordinating travel arrangements, and handling correspondence. - Ensure compliance with relevant legal and regulatory requirements, working closely with the CEO to implement necessary policies and procedures. - Contribute to the development and improvement of operational processes, identifying areas for optimization and implementing efficient solutions. - Maintain accurate records and documentation, including financial records, contracts, HR documents, and other relevant organizational information. - Maintain confidentiality and discretion while handling sensitive information and sensitive HR matters. - Support the CEO in various ad hoc tasks and projects as needed.
- Proven experience in an operations or executive assistant role, preferably in a fast-paced startup environment. - Strong organizational and multitasking skills, with the ability to prioritize and manage multiple tasks simultaneously. - Excellent attention to detail and accuracy, with the ability to handle tedious and repetitive tasks efficiently. - High level of integrity and ability to handle sensitive and confidential information with discretion. - Strong communication and interpersonal skills, with the ability to effectively liaise with various stakeholders, both internal and external. - Proficient in using productivity tools, such as Google suites for managing documents, spreadsheets, and calendars. - Familiarity with basic HR practices, payroll processing, and vendor management. - Resourceful and proactive mindset, with the ability to independently find solutions to any challenges that arise. - Flexible and adaptable, willing to take on any task, regardless of its size or complexity.
